We’re really excited to finally announce the new Capacity feature for Simply Schedule Appointments! 🥳

With this new feature you’ll be able allow set amount of people to book overlapping appointments.

What Are Overlapped Bookings?

Let’s say, for example, if I have four tennis courts each with an hour-long appointment. If I set the capacity to “4” then I can have up to 4 people book the tennis courts at a time.

They also wouldn’t need to start at the same time—if I set my start times to every 15 minutes then I could potentially have bookings at 10AM, 10:15AM, 10:30AM, and a last one at 10:45AM.

How to Set Up Overlapped Bookings in Appointment Types

To begin using this feature simply go to the Appointment Type you’d like to update > Go to the Basics tab > Fill in the Capacity field.

Capacity Field – How many people can book at the same time?

The Capacity field will set the max amount of bookings that can overlap.

This new feature is only available for the Plus, Professional, and Business Editions. If you’re already using them, just make sure you’ve updated to the most recent version of the plugin (V2.3.8.0 or V3.3.8.0).

    I’m struggling to understand the difference between:

    “Capacity” (How many people can book at the same time) in Basics
    and
    “Per Day Limit” (Max number of appointments of this type to book per day) in Scheduling Options.

    I’m trying to work out how I can
    a) limit one person to only one session a week.
    b) limit the the total number of bookings per daily appointment type to 10.

    In summary, there are two types of appointment per day for 3 days per week. Maximum people/group of 10. Only one session total per person per week.

    Is there any way to do that?

      You’re understanding seems correct:
      Capacity limits appointments per time slot
      and Per Day limits appointments for all the time slots that day

      As for your requests:
      a) limit one person to only one session a week
      At the moment we don’t support anything like this. We can’t limit how many times a site visitor can book in any window of time.

      b) limit the the total number of bookings per daily appointment type to 10.
      I took a look at your booking page to get a better understanding and read these instructions, “Sessions will be on Wednesdays, Thursdays and Fridays until the end of July when they will be subject to review.
      We are offering two sessions per day: 10am-11.30am and 1pm-2.30pm.”

    Thanks for your reply. I apologise for duplicate questions by email – I’ve only just found your response here!

    The group capacity is perfect – exactly what we’re looking for. Thanks for the detailed guide – very helpful.

    Unfortunately, not being able to limit a family group from booking all the places for a day/week/month may be a problem. I’ll get back to the client and see if they can find a way to deal with this.

    We decided to bite the bullet and upgrade to Plus! I’m happy to say it works brilliantly! It went live yesterday and has already had 59 bookings!

    We capped the capacity at 10 groups – two of the sessions are booked out and no longer available for more bookings – perfect!

    We addressed the limit bookings per day/week/month problem by means of a big “important” note asking families to only book one session per day so that other families get a chance. So far that seems to be working and if there’s a problem, the export csv provides an easy way to spot any issues on the list.

    It’s also really great to have the bookings made within the website, rather than an outside source such as google, eventbrite, etc.

    So thanks to all the team at SSA. A really impressive but simple to operate booking system – and fantastic support 😉

    I’m still not sure I know what the “Per Day Limit” (Max number of appointments of this type to book per day) in Scheduling Options is! I left it blank but I’m intrigued!
